About this position

Vidu are running a super exciting search for an Executive Assistant to support the CFO and MD of an award winning, Freight Forwarding and Supply Chain Management Provider.

Our client have engaged with Vidu VIP to carry out the initial search process.

The scope of the role:

To provide efficient and responsive secretarial and administrative service to the Group CFO and UK MD including detailed and complex diary management, meeting support, travel planning, ad-hoc small projects and some general admin and facilities support.

Primary responsibilities:

To be the first point of contact for all enquiries related to the Group CFO & MD; ensuring that they are acted upon efficiently and to a high standard or fielded effectively were necessary.

Manage and maintain the Group CFO’ and MD’s diary and email accounts.

To provide full administrative and secretarial support to the CFO & MD, including drafting reports, letters, articles and where appropriate filter emails, highlight urgent correspondence and print attachments.

Manage travel arrangements – national and international travel and organising meetings and events To draft and/or prepare correspondence on behalf of the CFO & MD.

Monthly Board & Management meeting administration.

Document preparation – reports, briefings, correspondence, PowerPoint presentations, etc.

To implement and maintain an efficient filing system to provide structure and an effective reference resource at all times.

To meet and greet visitors at all levels of seniority and to provide refreshments as and when required, Ad hoc business administration including facilities management, office maintenance, etc.

Maintain effective diary management.

High quality of communication – verbal and documents/ presentations.

Provide a high level of organisation.

Efficient turnaround time on travel and meeting arrangements.

High level of accuracy.

Skills and experience required

Secretarial and administrative experience within a fast-paced environment.

The ability to effectively plan and organise workload.

Display initiative to resolve issues quickly in an appropriate manner.

Good computer literacy (MS Office, Excel, PowerPoint, Word,  Outlook)

Excellent communication skills, both verbal and written.

Professional telephone manner.

Excellent typing skills, speed and accuracy essential.

High degree of confidentiality and discretion.
