About this position

Vidu are working on a super exciting assignment in the search for an Operations Executive on behalf of a rapidly growing Logistics business.

Our client has engaged with Vidu VIP to carry out the initial search.

Scope of the role:

Predominately working within a busy eCommerce & Express environment you will be responsible for:

Creating Import files for Ocean and Air.

Day to day dealings with Shipping Lines, Airlines, Airline Handling Agents, 3RD party Warehouses and Domestic and International Parcel and Pallet carriers.

Receiving Pre-Advices Ocean & Air from customers, checking authenticity and reporting back to the customer, any discrepancies or not.

Ensuring collection from Port or Airline Handling Agent and delivery into ETSF / ERTS Warehouse and completing Custom Clearance procedures.

Arranging delivery to Amazon UK / Amazon Europe / UK Warehouses and German Warehouses.

During the process, informing your Line Manager of any discrepancies or damage to cargo and submit ‘Intent to claim ‘letter against the offending party. Provide remedy to the solution.

Adhering to company policies concerning credit and issue of timely VAT /DUTY Invoices.

Keeping Customers informed of any delays and reasons why.

Principle Accountabilities / Tasks:

Checking shipping details and entering information into our clients IT systems, so that shipments are properly processed as per company policies and procedures.

Contacting customers to obtain relevant clearance and delivery details.

Ocean: Liaising with 3rd Party Warehouses to arrange collection from Shipping Line and delivery into ETSF / ERTS Warehouse for efficient devanning.

Air: Liaising with 3rd Party Warehouse to arrange collection from Airlines and their Handling Agents and delivery into ETSF / ERTS Warehouse.

Accurately arranging customs clearance to include sales and supplier invoices. Avoiding any demurrage or storage charges where possible. Customs Entries are to be done as per HMRC rules and regulations.

Providing outstanding customer service at all times.

Using and understanding our clients company IT systems, noting areas for improvement to carry out work effectively.

Keeping up to date concerning HMRC Tariff and Industry updates.

Working with 3rd Party Warehouse and Domestic/International Carriers.

Booking collections for Domestic and International despatches using the Carriers IT Systems.

Receiving Suppliers Invoices and checking correct prices have been quoted.

Adhering to Company Credit Policy. Managing efficient payment of VAT /DUTY invoices from customers.

Skills and experience required

Good knowledge of eCommerce and the Express market.

Excellent communication skills.

The ability to work under pressure and meet required deadlines.

Accurate attention to detail.

Experience of company IT Systems.

Must have a good understanding of import procedures and principles.

Strong problem solving skills.

The ability to develop relationships with 3rd Party Warehouse and Domestic / International Parcel and Pallet Carriers.

Adherence to Company procedures and Credit control policies.

Provide customer care at all times.
